Park & Recreation Administrative Assistant (Part-Time)
Overview:
Join our team as a Parks & Recreation Administration Assistant, where you will play a vital role in supporting the day-to-day operations of our Parks and Recreation Authority. This part-time position offers an opportunity to contribute to the well-being of our community by assisting in administrative tasks essential for the smooth functioning of our parks and recreational facilities.
RESPONSIBILITIES:
1. Administrative Support:
· Assist in managing departmental correspondence, emails, and phone inquiries.
· Maintain and update departmental records, including financial invoices, receipts, payables, and participant registrations.
· Prepare reports, memos, and presentations as required.
· Support the coordination of departmental meetings and events.
2. Customer Service:
· Serve as a point of contact for park visitors, addressing inquiries and providing information about park facilities, programs, and services.
· Assist in resolving customer concerns and issues in a professional and courteous manner.
· Provide assistance with registrations, reservations, and payments for park programs and facilities.
3. Facility Management:
· Assist in scheduling and coordinating the use of park facilities, including pavilions, fields, and recreational spaces.
· Monitor and maintain inventory levels of office supplies.
· Collaborate with maintenance staff to ensure cleanliness and functionality of park facilities.
4. Marketing and Promotion:
· Support the promotion of park programs, events, and activities through various marketing channels, including social media, website updates, and print materials.
· Assist in developing marketing materials, flyers, and newsletters to promote upcoming events and programs.
5. All other duties assign.
QUALIFICATIONS:
· High school diploma or equivalent required; additional education or coursework in finance and/or accounting.
· Previous administrative experience in an office setting is highly desirable.
· Excellent communication and customer service skills.
· Strong organizational skills with the ability to prioritize tasks and manage time effectively.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with financial software such as QuickBooks.
· Knowledge of parks and recreation principles, facilities, and programs is a plus.
· Ability to work independently with minimal supervision and as part of a team.
Work Schedule:
This is a part-time position with 20 hours per week, Monday through Friday 9:00am to 1:00pm, with the possibility of flexible scheduling based on departmental needs. Some evening and weekend hours may be required to support special events or programs.
